HRMS Privacy Policy

Last updated: 15 October 2026

This policy describes how Feetrack handles workforce information submitted to its HRMS and attendance features. It should be read together with the User Privacy Policy. "Customer" means the employer or organization using Feetrack; "employee" includes staff and other workforce members whose information is entered into the HRMS.

Workforce information

Depending on the features enabled by a Customer, the HRMS may contain employee names, contact and work details, job or department information, attendance and shift records, leave requests, payroll-related entries, documents and information needed for account administration. Customers should only upload information necessary for their lawful workforce-management purposes.

Roles and purposes

The Customer decides why employee information is collected and how it is used, and is responsible for providing required notices, establishing a lawful basis and responding to employee requests concerning employment records. Feetrack processes this information on the Customer's instructions to provide, secure, support and improve the HRMS, and to meet our own legal obligations. We do not use HRMS records to make independent employment decisions.

Access, use and disclosure

HRMS information is available to the Customer's authorized users according to the access and permissions configured by the Customer. Feetrack personnel may access information only when reasonably needed for support, security, service operation or legal compliance. We may use service providers to host or operate the HRMS, subject to their role in providing services to us, and may disclose information when required by law.

Accuracy and security

The Customer is responsible for keeping employee records accurate and for reviewing access when staff roles change. We use reasonable safeguards to protect information, but cannot guarantee that any system or transmission is completely secure. Customers should protect their login credentials and promptly report suspected unauthorized access.

Retention, export and deletion

The Customer controls how long its workforce records are needed and should follow applicable employment, tax and recordkeeping requirements. When service use ends, the Customer should export any records it needs before account access is removed. Feetrack may retain limited information where necessary for legal, accounting, security or dispute-resolution purposes, or as required by law.

Employee requests

Employees should first contact their employer or the organization that manages their HRMS account to access, correct or request deletion of workforce records. The Customer is best placed to verify employment identity and determine whether a record can be changed or deleted. Feetrack will assist the Customer with requests as appropriate and in accordance with applicable law.

Changes and contact

We may update this policy when our HRMS or legal obligations change. For questions about Feetrack's handling of HRMS information, contact us at visitus@feetrack.in or 7619439990. Employees with questions about their employer's collection or use of records should contact that employer.
